At Hintonn, we believe artificial intelligence should be accessible, transparent, and trustworthy. This AI Policy outlines our principles, commitments, and practices regarding the responsible development, deployment, and use of AI in our products and services — including the Company Brain and AI Mini.

Our AI Principles

Privacy-First by Default

Your data is your data. We design every AI system so that your business knowledge remains under your control. The Company Brain stores information locally by default. Cloud processing only occurs when explicitly enabled and with your consent. We never train third-party AI models on your data.

Transparency About AI Use

We clearly identify when and where AI is being used in our products. Our AI systems label generated outputs, and we explain the capabilities and limitations of each AI feature in our documentation. You will always know whether you are interacting with AI or a human.

Human Oversight and Control

AI augments human decision-making — it does not replace it. Every AI-generated output in our services can be reviewed, edited, or overridden by a human. Critical business decisions remain under human control. Our AI systems are designed to be assistive, not autonomous for high-stakes decisions.

Offline Capability

We believe AI should not depend on internet connectivity to serve your business. AI Mini runs AI models locally, ensuring your Company Brain is available even without an internet connection. This is not just a feature — it's a principle of AI independence.

Fairness and Inclusivity

Our AI models are designed to work across languages (Hindi, Gujarati, English) and are tested for bias. We continuously monitor our systems for unintended discrimination and take corrective action when identified. We actively work to make AI accessible to businesses of all sizes, not just enterprises with large budgets.

Safety and Reliability

We implement rigorous testing before deploying AI features. Our systems include safeguards to prevent harmful outputs, data leakage, and unintended behaviours. We maintain incident response procedures for AI-related issues and provide users with clear channels to report concerns.

AI technology evolves rapidly. We regularly update our models, practices, and policies to reflect the latest standards in responsible AI. We welcome feedback from our users and the broader community to help us improve.

How We Use AI in Our Products

Company Brain

The Company Brain uses AI to automatically capture, structure, and connect business knowledge. It processes meetings, documents, emails, and conversations to create a searchable, queryable intelligence layer. The AI models used for this processing are either running locally on your AI Mini or on our secure infrastructure — never on third-party platforms that would train on your data.

AI Mini

AI Mini runs on-device AI models for voice recognition, natural language understanding, and knowledge retrieval. When you speak to AI Mini, your voice data is processed locally and is not sent to the cloud unless you have explicitly enabled cloud features. AI Mini's meeting transcription and summarisation happen on-device.

Conversational AI Agents

Our conversational AI agents use large language models (LLMs) to understand and respond to queries. These agents are grounded in your Company Brain — they answer based on your business knowledge, not generic internet data. We do not use your conversations to train or improve general-purpose LLMs.

Data and AI Training

We do not use customer data to train or improve our foundation AI models. Here's what this means in practice:

  • Your Company Brain content is never used to train general-purpose AI models
  • Meeting transcriptions, voice recordings, and business documents are processed only for your benefit
  • We may use anonymised, aggregated usage data (stripped of all personal and business content) to improve product performance
  • You can request deletion of your data from our systems at any time

AI Limitations

We are transparent about what our AI systems cannot do:

  • AI-generated outputs may contain errors or inaccuracies. Always review critical outputs before acting on them.
  • Our AI models have knowledge cutoffs and may not reflect the most recent information unless connected to live data sources.
  • AI systems should not be relied upon as the sole source for legal, financial, or medical decisions.
  • Voice recognition accuracy may vary based on accent, background noise, and audio quality.

Reporting AI Issues

If you encounter an AI-related issue — including biased outputs, safety concerns, or unexpected behaviour — please report it immediately:

We investigate all reports promptly and take corrective action as needed.

Policy Updates

This AI Policy will be reviewed and updated as our technology and industry standards evolve. We will notify users of material changes through our website or via email. The latest version is always available at this URL.
